Tourism Management Institute (TMI) Annual Convention
Background
As part of our three year contract with the Tourism Management Institute (TMI) Revelation event managed and produced the TMI Annual Convention, held at the Radisson Blu Hotel, Liverpool. More than 100 industry professionals from all over the UK travelled to the 2008 Capital of Culture to engage in a diverse three day programme and make the most of the numerous networking opportunities available.
This year the convention, titled ‘Regeneration, Re-invention, Recession’, specifically wanted to help delegates facing difficulties due to the current economic climate and the effect this is having on the tourism industry, by giving them the opportunity to speak to peers and experts to get advice and support.
Solution
As part of our event management role, the in-house team managed all online bookings and payments, accommodation and onsite registration. We were also required to liaise with and manage all speakers, sponsors and the venue.
For the speakers we provided an online tool where they could upload their presentations so we could compile them into one on a branded template to making it cohesive. On site there was a speaker lounge so that presenters could relax and make any last minute changes to their presentations. For the sponsors, after securing their support we ensured that all agreements were fulfilled and that every opportunity to promote each of the sponsors was maximised.
Another of Revelations key responsibilities was the marketing of the Annual Convention. The event brand was designed by us and then incorporated into every element of marketing and creative for the convention. This included the design, production and maintenance of an event website containing all the information delegates would need to know pre and post event, email invitations, delegate conference bags, badges, onsite signage, graphics boards as well as the 20 page programme and 16 page workbook that were used by delegates at the event. A focused marketing communications campaign, including regular emails and weekly newsletters, was also undertaken in the weeks leading up to the convention to ensure maximum numbers of delegates attended the event.
Onsite, the team designed and installed the stage and set as well as providing a full audio visual package with tailored sound, lighting and media solutions. We also managed breakout rooms for specialist workshops, organised Surgery Sessions where delegates could discuss professional issues with experts as well as coordinating Study Tours that took delegates on visits around the city to see areas of interest.
On the first evening delegates enjoyed a drinks reception and then a gala dinner at the Maritime Museum was held on the second night. The logistics, catering, entertainment, branding and audio visual at both were again managed by us.
Results
The Tourism Management Institute were really happy with how successfully the three days were managed. The City of Liverpool played great hosts for the event and the venue was particularly well received. The Gala Dinner was a huge success, as was the entire programme.
“Thank you for all of your assistance with the TMI Convention. I feel that it was a real success and went smoothly from start to finish. I’m sure this will be reflected in the delegate feedback forms.”
A feedback survey was distributed at the event and on collation of the results post event, delegates said they had found the convention extremely helpful and had achieved their expectations and in some cases exceeded them!
We are looking forward to the next two years working on the TMI events.
