Tourism Management Institute

Background

The Tourism Management Institute (TMI) are the leading institute for tourism destination management professionals in the UK. As a relatively new organisation, formed in 1997 as the successor to the British Association of Tourism Officers, the Institute has over 340 members who are all involved in marketing, developing and planning tourism for the benefit of their individual destinations.

The TMI delivers two large events each year, firstly the "Hot Topic" event which tackles a single theme and is a mix of expert presentations by industry leaders and workshop / discussions in break-out rooms. This years "hot topic" was ‘The Business of Festivals and Events' & held at The Paragon Hotel, Birmingham.

Secondly, the TMI hosts their Annual Convention, a 3 day programme which focuses on a certain area of tourism and a host city each year. This year it was the turn of 2008's European Capital of Culture, Liverpool.

As part of a 3 year contract with the TMI, Revelation were appointed to provide full event management and production services on both events.


Solution

As part of their role, Revelation were responsible for the creation of both event brands and the marketing of the events to all potential delegates. Once the brands had been created it was incorporated into all the event communication from ‘Save the Date' emails to invoicing, from the PowerPoint presentation and the set design to the workbook presented to delegates on the day.

To further promote the events, bespoke websites were designed and created. Here delegates could register their place, make payment, confirm their workshops/study tour choices, obtain more information on the agenda, speakers and sponsors and book their accommodation.

Pre event Revelation worked closely alongside the events group from TMI to design dynamic programmes that would appeal to the largest possible audience. This included sourcing and booking relevant speakers and creating attractive workshops and seminars to engage delegates and meet their objectives of attending.

Being in charge of both speaker and sponsor management it was important that the Revelation team made each person feel that they were being looked after whether this was through added value for the sponsorship elements or by providing a speaker preview lounge at the event. A comprehensive plan for both parties was designed and implemented.

Hot Topic
On-site, Revelation designed and build the set which would reflect the event brand and represented the sponsors through graphic boards and a branded lectern from which speakers presented.

As well as this they created bespoke audio visual solutions for the event.  Lighting, sound, projection and media were all managed by the onsite team.

The entire event proceedings were recorded to electronic file for TMI's use.

Annual Convention
Delegates enjoyed a full programme which included motivational speaker Michael Heppell, study tours around the city plus numerous networking opportunities including a gala dinner hosted at the Maritime Museum. Revelation also managed breakout rooms for specialist workshops and organised Surgery Sessions where delegates could discuss professional issues with experts.

Onsite, the team designed and installed the stage and set as well as providing a full audio visual package with tailored sound, lighting and media solutions.


Results

The Tourism Management Institute were very happy with how successfully both events were managed. Both venues played great hosts and were particularly well received by delegates.

A feedback survey distributed at the Annual Convention and on collation of the results post event, delegates said they had found the convention extremely helpful and had achieved their expectations and in some cases exceeded them!
